Sales Operations Associate, Legal Technology Solutions (NY/NJ)


Litigation Solutions provider seeking a creative, innovative, hardworking administrative candidate to assist sales and account management teams in NYC.  This individual shall support client needs by helping to scope, quote, and execute projects while coordinating with internal team members to ensure projects are handled in a timely manner with a focus on quality and profitability.


  • Expand their knowledge of the Legal and Legal Technology Industry and develop additional skills to provide clients with excellent service
  • Focus on mid to large-size and enterprise accounts
  • Prepare project quotes and create project schedules for clients deliverables
  • Liaise with eDiscovery and litigation support teams to ensure quality and timely deliverables
  • Track projected revenues
  • Prepare internal reports, client reports and document client project notes
  • Support to internal teams by providing out of office coverage and organizing team building events and activities
  • Assist with the development of meeting presentations both for internal and external clients that will be presented by/with a senior team members
  • Support Quality Control systems and processes, monitor results
  • Provide feedback to operations team including suggestions to improve performance 
  • Other tasks as assigned by management

Required Skills:

  • Bachelor’s Degree
  • Ability to work under pressure of meeting hard deadlines and challenging goals
  • Strong math skills needed to calculate discounts, interest, commissions, proportional percentages
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Minimum 1 year experience in a client-facing account management or client service representative role
  • Legal industry experience, knowledge or interest in legal industry and litigation cycle preferred/a plus
  • Exceptional written and verbal communication and presentation skills


Location: NY/Manhattan or NJ/Newark: Compensation: Base Salary $45 – 55K

Position Information

Venable has an opportunity for a Legal Administrative Assistant experienced in supporting a commercial litigation practice to join our growing team.

The ideal candidates will be responsible for… 

  • Court and administrative filings in federal courts and California state courts
  • Efficiently proofreading and editing text for grammatical and typographical errors, and occasionally for content
  • Preparing correspondence including legal documents, forms, presentations, and the like using advanced knowledge and skills with word processing related and other software programs
  • Scheduling appointments, making travel and/or meeting arrangements and maintaining business calendars
  • Assisting with partner billing, including preparing bills for distribution, maintaining billing records and recording attorney time
  • Prioritizing assignments and preparing often sensitive and detailed correspondence, such as responses to requests for information or regularly recurring reports, from rough draft or dictation

The successful candidates will demonstrate…

  • Minimum 2 years of experience supporting a fast-paced probate practice preferred
  • Experience with CA state and federal court filing is required; knowledge of federal court local rules preferred
  • Experience with MS Word and Outlook, including the creation of Tables of Authorities
  • Intermediate to advanced computer aptitude to use various features of multiple software programs (including word processing, footnotes, redlining, copying/pasting, comparing documents)
  • Ability to multitask and meet time-sensitive deadlines, accepting responsibility for producing a complete and accurate work product
  • Strong proofreading skills and overall continual attention to detail
  • Ability to interact with individuals at all levels of the organization
